Privacy Policy for Nexusify.ai

This Privacy Policy describes how Nexusify.ai (we, us, or our) collects, uses, discloses, and retains information when you visit our websites, create an account, or use our software-as-a-service platform and related features (collectively, the Services). It applies to customers, authorized users, and visitors where the Services are offered.

If you do not agree with this Privacy Policy, do not access or use the Services. Where local law provides you additional rights, those rights apply alongside the practices described below.

1. Roles and scope

  • Controller vs. processor: We generally act as a data controller for account, billing, security, and product analytics data tied to your use of the Services. Where you connect third-party systems (for example Google Workspace) and instruct us to process data on your behalf, we may act as a processor or service provider for that processing, as described in your agreement with us and any applicable order form or enterprise terms.
  • Not legal advice: This document is a product privacy notice. It is not a contract unless expressly incorporated by reference in a separate agreement.

2. Information we collect

  • Account and profile: Name, email address, organization, authentication identifiers, preferences, and similar details you provide when you register or update your profile.
  • Authentication and security: Session tokens, device and browser metadata, IP address, timestamps, audit logs, and security signals used to protect accounts and detect abuse.
  • Service usage and diagnostics: Product interaction data (for example feature usage, errors, performance metrics) collected to operate, secure, and improve the Services. Depending on configuration, this may include aggregated or de-identified analytics.
  • Content you submit: Prompts, files, agent configurations, workflow definitions, and other materials you upload or generate through the Services, subject to your settings and the features you enable.
  • Integration credentials and configuration: API keys, OAuth tokens, webhook URLs, and connection settings you supply to link external services. Credentials are handled as sensitive configuration data and are intended to be used only to perform the integrations you enable.
  • Support and communications: Information you send when you contact us (for example support tickets, email content, call recordings if offered and with notice).
  • Cookies and similar technologies: Cookies, local storage, or similar technologies used for authentication, preferences, security, and measurement. You can control many cookies through your browser settings; disabling certain cookies may limit functionality.

3. Sign in with Google and connected Google Workspace services

  • OAuth sign-in: If you choose Sign in with Google, Google authenticates your identity and shares limited profile information with us (commonly including your Google account identifier and email address) as permitted by your Google consent choices and Google's OAuth disclosures.
  • Connected Google Workspace or Google APIs: If you connect Google services (such as Gmail, Google Calendar, Google Drive, or other Google APIs made available in the product), we access, process, and store Google user data only as needed to provide the features you enable, and only in accordance with this Privacy Policy, applicable Google API terms, and any in-product permissions or scopes you approve.
  • Workspace administrators: If your Google account is managed by an organization, your administrator may have additional visibility or controls over connected applications. You are responsible for complying with your organization's policies when you connect Google services to the Services.

4. How we use information (including Google user data)

  • Provide the Services: Authenticate users, route requests, run agents and tools you configure, synchronize or process content from connected integrations, and deliver customer support.
  • Maintain and improve reliability and security: Monitor for fraud and abuse, debug issues, perform backups where applicable, and improve performance and usability.
  • Communicate with you: Send service-related notices, security alerts, and (where permitted by law) product updates or marketing communications. You can opt out of marketing where opt-out is required.
  • Legal and compliance: Comply with law, enforce our terms, and protect rights, safety, and security.

5. How we share information

  • Service providers: We use subprocessors (such as hosting, email delivery, observability, payment processing, and security vendors) that process data on our instructions and are contractually obligated to protect information, where applicable.
  • Model and infrastructure providers: Depending on product configuration, portions of prompts, tool outputs, or related context may be transmitted to third-party AI or infrastructure providers to execute features you enable. We do not sell your personal information, and we do not share Google user data with third parties except as described in this policy, as required by Google API requirements, or as directed by you through product functionality.
  • Corporate transactions: If we are involved in a merger, acquisition, financing, or sale of assets, information may be transferred as part of that transaction, subject to standard confidentiality arrangements.
  • Legal requests: We may disclose information if we reasonably believe disclosure is required by law, regulation, legal process, or governmental request, or to protect the rights, property, or safety of Nexusify.ai, our users, or the public, consistent with applicable law.

6. Retention, deletion, disconnect, and revocation

  • Retention: We retain information for as long as needed to provide the Services, comply with legal obligations, resolve disputes, and enforce our agreements. Retention periods can vary by data category and configuration.
  • Account deletion: You may request deletion of your account or certain associated data by contacting us at support@nexusify.ai. Some records may be retained where law requires or where necessary for legitimate business purposes (for example security logs), in accordance with applicable law.
  • Disconnect integrations: You can disconnect Google or other integrations inside the product where that control is available. Disconnecting stops new data access through that integration, subject to reasonable propagation delays and caching.
  • Revoke Google access: You can revoke the application's access to your Google account at any time through your Google Account security settings for third-party apps with account access. Revocation may not delete data already processed or stored prior to revocation; contact us if you need help understanding what remains after disconnect.

7. Security

  • We implement technical and organizational measures designed to protect information against unauthorized access, loss, or alteration. No method of transmission or storage is completely secure; we encourage strong passwords, multi-factor authentication where available, and careful handling of integration credentials.

8. International transfers

  • We may process and store information in the United States and other countries where we or our service providers operate. Where required by law, we use appropriate safeguards for cross-border transfers.

9. Your rights and choices

  • Depending on your location, you may have rights to access, correct, delete, restrict, or object to certain processing, or to port data. You may also have the right to lodge a complaint with a supervisory authority.
  • To exercise rights, contact support@nexusify.ai. We may need to verify your request and may be unable to fulfill requests that compromise the security of the Services or violate law.

10. Google API Services User Data Policy and Limited Use

  • Our use of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements, to the extent applicable to our product functionality and the Google user data we access.
  • Limited Use (plain-language summary): We request and use Google user data only to provide or improve user-facing features that are prominent in the requesting application's interface, to comply with applicable law, or as otherwise permitted by the Limited Use requirements. We do not use Google user data for serving advertisements, and we do not allow humans to read Google user data except in limited circumstances (for example with your consent, for security or abuse prevention, to comply with law, or where the data is aggregated and de-identified for internal operations in line with Google's policy).
  • This summary is provided for readability. The controlling requirements are Google's published policies and the scopes and disclosures presented in the OAuth consent screen and product permissions flows.

11. Children

  • The Services are not directed to children under the age where parental consent is required in your jurisdiction. If you believe we have collected information from a child inappropriately, contact us and we will take appropriate steps.

12. Changes to this Privacy Policy

  • We may update this Privacy Policy from time to time. We will post the updated policy on this page and update the Last updated date. If changes are material, we will provide additional notice where appropriate (for example by email or in-product message).
